Store Operations Administrator

Reports To: Store Manager

FLSA Status: Non-Exempt

Job Summary

Responsible for managing the daily operations of the Bassett Home Furnishings retail location, so that the store’s financial objectives, customer experience, and daily tasks are consistently achieved. The store operations administrator ensures adherence to the Bassett standard in the following areas: customer relations, administrative functions, operational processes, and systems.

Direct reporting and supervision from the store manager.

Essential Functions

Driving increased efficiencies through the performance of the following: o Management of the store’s follow up on CWC (customer will call) coded sales;

o Knowledge and understanding in fields of merchandising and marketing, specifically visual standards, and tagging;

o Completion of all training and be knowledgeable of all company policies and procedures;

o Assist design consultants with order entry, cash management, financing applications;

o Scheduling non-selling staff to maximize effectiveness and efficiency in conjunction with the store manager;

o Assist DC’s ordering parts for customers such as arm caps, table legs, hardware, etc.

• Directing administrative functions, including management and maintenance of: o Petty cash reconciliation and reimbursement and balancing of the cash drawer;

o Ensure daily deposits are taken to the bank;

o Weekly accounts receivables and report to the store, district, regional ops and regional managers;

o Accounts payable submissions (expense reports and approvals) include all proper documentation and sent timely;

o Assist with sales order entry auditing using the daily transaction report to accuracy and proper documentation for all orders including makeovers;

o Ensure all Wells Fargo applications are mailed daily;

o Receive purchase orders for parts or store pick-ups;

o Resolve Wells Fargo and credit card chargebacks;

o Audit and approve daily business folders and ensuring cash balancing to include all necessary supporting documentation is sent to the Retail Accounting Team including deposits, payments, in conjunction with store manager;

o Order and maintain collateral and office supplies.

• Managing operational processes and practices, including: o Store expense control, including invoice review for manager approval;

o Warehouse, service and delivery processes and procedures;

o Inventory accuracy and integrity including transfers, monthly cycle counts and semi-annual physical inventory;

o Manage and complete store pickups;

o Building maintenance, including systems (HVAC, doors, roof, power), parking lot, signs, lights, outdoor appearance of the store, computer equipment, lighting ordering and replacement, coordination of furniture repair, paint upkeep, and interior flooring repair, etc. by knowing protocol (who to contact and how to handle billing for issues);

o Ensure all clearance is categorized in the system and priced correctly;

o Floor set guide and visual standards maintenance;

o Ensure floor etiquette standards are adhered to;

o Assisting store manager with onboarding of new design staff as well as ongoing team development and retention;

o Establish relationship and open communication with human resources, distributions centers, EDI Coordinators, visual team, corporate customer care, accounting, etc;

o Perform other operational duties as assigned;

o Maintain satisfactory time and attendance.

Necessary experience/skills/education/abilities

Retail experience is a plus, but not required;

• Conflict and problem resolution skills;

• Organizational and time management skills;

• Commitment to Bassett’s Vision and Values at all times;

• Valid driver’s license and a maintained clear and safe driving record;

• Experience in Windows-based software;

• Ability to: o Work in an organized and safety conscious manner;

o Work as a team with an enthusiastic attitude;

o Effectively communicate with customer, co-workers, and management

o Read, understand and write the English language;

o Utilize Windows based software, including Word and Excel;

o Navigate and utilize applicable Bassett systems, such as STORIS, Bnet, JDEdwards, Kronos, Marketmate, SalesForce, Dispatch Track, etc;

o Occasionally lift and/or pull up to 25 pounds;

o Occasionally bend or reach overhead;

o Walk, stand, sit, use hands and fingers, handle or feel objects, use and/or control tools, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch, or crawl, talk and hear, and see up close, in color, depth and distance vision, as well as the ability to focus.
